How to tame the proliferation of messages

Recently, someone asked what to do when you are developing three messages to respond to a possible question or concern, and additional messages come to mind. Before long, you can end up with a long list of needed messages. And you are trying to develop 3 short messages to respond to one question or concern.

First, keep the pile of messages. It's time to organize them. First, look through the list and pull out the 3 messages that best respond to the initial question or concern. These three will provide a "big picture" sort of answers. Now look through the list and find the 3 messages that best provide additional detail to the first message. Repeat this with the second and third messages.

Now compare the messages with the list of possible questions and concerns you wrote. See which messages will answer which questions/concerns. Perhaps some of the messages provide additional details to the initial 3 messages that best give the "big picture" response. Continue matching messages up with concerns and questions.

You may find there are messages left over. These are answering questions or concerns that you hadn't listed previously. (Our subconscious often knows the questions or concerns before we are consciously aware of them.) So...go ahead and write the questions/concerns that call for those messages.

Soon you will find that you have matched all of your messages up with questions or concerns. Or...you learned that many of the messages were actually more detailed information about another message.
